About First Contact Lenses Limited

First Contact Lenses Limited is a family business located in mid-Wales. Originally part of Martin Optical, they have been dedicated to offering an extensive range of disposable contact lenses to optical practices across the UK since 2003.

Challenges

First Contact Lenses Limited has been using SAP Business One since the end of 2016, which they initially implemented as they were struggling with inventory management. Due to the nature of their products, where every contact lens prescription needs its own unique product code, they had to find a solution that would be able to accommodate this.

Although the team at First Contact Lenses Limited love using SAP Business One, they found they needed additional functionality to help them speed up their invoicing process.

Solutions

First Contact Lenses Limited chose to implement B1 Usability Package and B1 Print & Delivery to automate their invoicing. Previously, they were sending invoices manually, which would take several hours to print followed by manually stuffing envelopes at the beginning of each month. This was a very inefficient use of time, as well as proving very expensive in terms of paper, printing and postage costs.

Results

By automating their invoicing process using B1 Print & Delivery, First Contact Lenses Limited has saved a significant amount of time spent on manual administration each month. They have also made large savings on their printing costs, including stationery, toner and postage. According to Daniel Allport, Systems and Projects Manager, “we will very quickly achieve a return on our investment by eliminating our printing and postage costs. We are also getting paid quicker as our dunning letters now go out by email, which means they get to customers quicker, so we get paid sooner.”

The Future

First Contact Lenses Limited is hoping to explore website integration with SAP Business One in the future and is sure there are a number of efficiencies they can achieve by using their systems more effectively. Of SAP Business One, Daniel says, “I love using SAP Business One. The way it works and now with the customisation we can implement, it just makes sense for us. It’s a really good system.”
